Edit or delete a file - Desktop

The following help article will assist you to edit, move, and delete files in MyCPD on your desktop.

You can edit files by renaming the file, attaching the file to a new or existing activity, moving the file to an existing folder, or deleting the file. 

After following the initial instructions for getting to the My Files in MyCPD, please select the relevant help article from the below list to be taken directly to the respective instructions:

There are two ways to access My Files in the MyCPD program.A

1. A) On the Home page, select the My Files tile with the paper clip, or

2. B) If you are on another page such as MyCPD Summary you can go to the My Files section by selecting the My Files from the menu on the left side of the screen.

Please note, if you wish to edit or delete a file from a previous year you can do so by changing the year in the top right hand corner of the screen.

3. The My Files page will contain a listing of the files and folders you have uploaded. Within the My Files section you are able to view and edit your files.

4. To edit a file, find the file you wish to edit, and select the settings icon to the right side of the file. When you select the settings icon, you can choose to rename the file, attach to the file to a new activity, attach to existing activity, move to an existing folder, or delete the file.

Rename a file 

To rename a file please follow the below instructions.

1. To rename the file, select the Rename option with the pencil icon.

2. A pop-box will appear for you to rename the file as you wish.

3. Once you have finished renaming the file, select the Rename button.

Attach a file to a new activity

To attach a file to a new activity please follow the below instructions.

1. To attach a file to a new activity, select the Attach to new activity option.

2. This will take you to the Add Activity section. For instruction on how to Add an Activity go to the Add Activity help article.

Attach a file to an existing activity 

To attach a file to an existing activity please follow the below instructions.

1. To attach a file to an existing activity, select the Attach to existing activity option (this is above the Move to Folder option).

2. A pop-up box will appear for you to attach the file to an existing activity.

3. Select the existing activity from the drop down menu.

4. Once you have selected the existing activity to attach the file to, select Attach. The file will now appear in the Evidence tab of the activity you have linked the file to.

Move a file to an existing folder

To move a file to an existing folder please follow the below instructions.

1. To move a file to an existing folder, select the Move to folder option.

2. A pop-up box will appear for you to choose an existing folder to move the file to a folder.

3. From the drop down menu select the existing folder you wish to move the file within.

4. Once you have selected the existing folder to move the file to, select Confirm. The file will now appear in the relevant folder.

Delete a file

To delete a file please follow the below instructions.

1. To delete a file, select the Delete button.

2. A pop-box will appear requesting you to confirm the file deletion. If you are sure that you wish to Delete the file select the red Delete button. If not, select Cancel and you will be taken back to the My Files screen.

Delete a file linked to one or more activities

To delete a file that is linked to one or more activities please follow the below instructions.

If the below message appears when choosing the delete a file, it means that the file you are attempting to delete is linked to one or more activities. Before you can delete the file from the My Files section, you will need to remove the file from the activity.

Remove the file from an activity

The instructions below will help you to remove the file from the activity.

1. From the Home page, select the MyCPD summary - View Summary tile.

2. In the View summary section, find the category that the activity falls within. 

3. Select the drop down arrow to the far right of the Category bar.

4. The summary for the selected category will include all the respective activities you have recorded within this category. Find the activity you wish to delete a file from and select the settings icon to the far right next to the activity. The paperclip icon indicates an attached file.

5. A pop-up box will appear, select the Edit option.

6. Scroll down to point 3, the Evidence section of the Edit activity section. Beneath the Attach File button is a list of files connected to the activity. 

7. Find the file you wish to delete and select the Remove button next to the file’s name. The file will be removed from the activity. You can now follow the delete a file from My Files instructions outlined above if you wish to delete the file further.

Make sure to select Save at the bottom of the page, and save the changes to the activity.
